How the Piano Care Plan Works

The Piano Care Plan is designed to make piano maintenance simple, predictable, and worry-free. We do not believe in locking customers into long-term contracts, though it is built around a recommended 12-month commitment, which aligns with standard piano maintenance of two tunings per year. You may choose monthly or annual billing and cancel at any time. While there is no contract, the Plan is intended for customers seeking ongoing care rather than one-time service. Plan benefits are available while your subscription is active and in good standing. 

Here’s how it works:

1. Start with a tuning and assessment to establish a baseline

To qualify your piano for ongoing care, MPS performs an initial tuning and assessment to document condition and establish a baseline.

  • Monthly Plan: The initial tuning and assessment is billed separately at $150 + tax. Monthly recurring billing of $30/month begins the following month.
  • Annual Plan: The annual fee of $300/year includes two tuning credits immediately, and the first tuning credit may be used right away for the initial tuning and assessment (no separate $150 charge).

The discounted initial tuning rate is offered as part of enrolling in the Piano Care Plan. Once completed, the initial tuning and assessment is final and will not be repriced or refunded if the Plan is later cancelled.

Any additional recommended services beyond the scope of the initial tuning will be discussed with you prior to work being performed and may require an additional fee (with the 15% member discount).

2. Two tunings per year

  • Monthly Plan: You accrue one tuning credit every six (6) months of continuous active membership (two per year).
  • Annual Plan: You receive two (2) tuning credits immediately upon annual payment, and two additional tuning credits upon renewal.

For reference, a standard tuning outside of the Piano Care Plan is $190, making Plan membership a cost-effective option for ongoing care.

3. Minor services are included at no additional cost

Minor issues that can typically be completed in about 30 minutes or less, such as sticking keys, a noisy pedal, or other small adjustments, are included at no additional cost.

Minor services may be handled during a scheduled visit or, when needed, via a separate service call when appropriate, at MPS discretion. This saves members the usual $125 minimum service-visit charge that would otherwise apply.

4. Enjoy 15% off additional parts and labor

When your piano needs services beyond routine maintenance, such as regulation, voicing, or other repairs, the Piano Care Plan provides 15% off all related parts and labor.

5. Stay protected with emergency support

You receive up to three (3) emergency visits per membership year, with no emergency-visit fee.

If an emergency visit requires a tuning and you do not have a tuning credit available, the tuning is billed at standard price minus your 15% member discount. Major repairs are billed separately at the member discount.

6. Enjoy member benefits year-round

Each visit includes:

  • A full inspection appropriate to the visit type
  • Documentation of the piano’s condition and work performed
  • A written report emailed to the primary email address on file

Service records are also retained by MPS for future reference. The Piano Care Plan keeps your piano healthy, stable, and well-documented with minimal effort on your part.


1. Introduction and Acceptance

The Piano Care Plan (“Plan”) is a subscription maintenance program offered by Spruce Music Inc. DBA Miller Piano Specialists (“MPS,” “we,” “us,” “our”). These Terms and Conditions (“Terms”) govern your enrollment and participation. By enrolling, renewing, scheduling service, or making any payment toward the Plan, you agree to these Terms.

2. Definitions

  • Active Membership: Your subscription is current, paid, and not paused or cancelled.
  • Membership Year: A 12-month period measured from your enrollment date (for Annual Plans, the paid annual term).
  • Tuning Credit: One redeemable standard piano tuning visit performed by MPS.
  • Minor Services: Small adjustments or minor repairs that can typically be completed quickly during a visit, as determined by MPS.

3. What the Plan Includes

This Plan is designed to make caring for your piano simple, predictable, and affordable.

A. Tunings (Two Per Year)

  • Monthly Plan: You accrue one (1) tuning credit every six (6) months of continuous Active Membership, up to two per Membership Year. Accrual pauses while membership is paused or cancelled.
  • Annual Plan: You receive two (2) tuning credits immediately upon annual payment and two additional tuning credits upon renewal.
  • Scheduling: Tuning credits do not guarantee immediate appointment availability. Scheduling is subject to technician availability.

B. Minor Services Included at No Additional Cost

Minor Services may include:

  • Sticking keys
  • Squeaky or noisy pedals
  • Light adjustments to improve touch and playability
  • Small repairs that can be completed quickly during a visit

Minor Services are not guaranteed for every issue and do not include major repairs, extensive labor, or work requiring specialized parts or extended shop time.

C. Emergency Visits (Up to Three Per Membership Year)

You receive up to three (3) emergency visits per Membership Year, with no emergency-visit fee.

An emergency is a sudden issue that significantly limits playability (for example: sticky keys, a noisy pedal, or multiple dead notes). MPS aims to respond within one (1) business day and schedule within three (3) business days, though immediate availability is not guaranteed.

D. Member Discount on Other Services

Members receive 15% off parts and labor for piano services and repairs not included as Minor Services or covered by a Tuning Credit.

E. Inspection & Documentation Included

Every visit includes inspection, documentation of observed condition and work performed, a written service report emailed to the primary email address on file, and service history retained by MPS.

4. Initial Tuning and Assessment Requirement

The Plan is intended for functional, maintainable instruments. To establish a service baseline and confirm eligibility:

  • Monthly Plan: Before Plan benefits begin, the piano must receive an initial tuning and assessment by MPS at $150 + tax. Monthly Plan billing begins the following month.
  • Annual Plan: The annual payment includes two tuning credits immediately, and the initial tuning and assessment may be performed using the first tuning credit.

Any additional recommended services beyond the included scope will be discussed with you prior to work being performed and may require an additional fee (with the 15% member discount).

5. Customer Responsibilities

A. Scheduling

MPS provides reminders as a courtesy, but scheduling is the customer’s responsibility. Missed or unscheduled services may result in forfeiture of timing preferences and/or delays in service.

B. Environment

Customers agree to keep the piano in a consistently-climate-controlled environment:

  • Temperature: 68-78°F
  • Relative humidity: 40%-50%

MPS is not responsible for tuning instability or damage caused by environmental conditions.

C. Access, Safety, and Rescheduling

Provide safe, clear access to the piano for scheduled appointments.

If you need to reschedule, provide at least 24 hours notice. Missed appointments or inaccessible pianos will incur a $125 no-show fee, as it’s too late for us to rebook the slot.

D. Instrument Condition / Eligibility

If the piano is found to be untunable, unsafe, severely deteriorated, or otherwise not eligible for routine maintenance, MPS may revoke eligibility and cancel the Plan.

6. Payments, Pausing, Cancellation, and Refunds

  • Monthly Plan: $30/month, billed monthly. No refunds. If a tuning credit has not accrued, it is forfeited upon cancellation.
  • Annual Plan: $300/year, billed annually. If fewer than two tunings have been performed during the annual term, a prorated refund may be offered at MPS discretion for services paid for but not rendered.

Pausing or cancelling pauses Plan benefits and accrual. Failed payments not resolved within 14 days may result in suspension or cancellation. Applicable sales tax will be added where required.

7. Service Area

Service is available only for pianos located within a 50-mile radius of:

If the piano is relocated outside this radius, MPS may cancel the Plan.

  • Monthly Plans: No refunds.
  • Annual Plans: A prorated refund for unused services may be offered at MPS discretion.

8. Limitations and Liability

A. Tuning Stability

Perfect tuning stability is not realistic for any acoustic piano and is not guaranteed. Pitch and stability naturally fluctuate due to seasonal changes, humidity, temperature, usage, and the condition of the instrument.

B. Inherent Service Risks

Piano tuning and maintenance involve inherent risks, including but not limited to:

  • String breakage
  • Pin movement
  • Aggravation of pre-existing mechanical or structural issues

These issues can occur even when service is performed properly and with reasonable care.

C. Incidental Damage

MPS is not liable for incidental issues resulting from normal service risks unless caused by proven negligence or willful misconduct.

If incidental issues occur (such as string breakage), any required repairs or replacements will be billed at standard rates minus the 15% member discount, unless the issue resulted from proven negligence.

D. Negligence

If damage to the piano is caused by proven negligence on the part of MPS, MPS will work with the customer to reasonably resolve the issue. Resolution may include repair, replacement, or handling the matter through applicable insurance coverage, at MPS’s discretion. Our goal is always to make things right if an issue arises.

E. Exclusions

The Piano Care Plan does not cover issues or damage caused by:

  • Environmental conditions or instability
  • Neglect or misuse
  • Pest infestation
  • Moving or relocation
  • Pre-existing structural issues

F. Limitation of Liability

Except in cases of proven negligence or willful misconduct, MPS’s total liability under this Plan shall not exceed the amount paid by the customer for the Plan during the current billing period.

MPS is not liable for indirect, incidental, or consequential damages except where required by law.

9. Transferability

The Plan is not transferable to a new owner, to a different piano, or to a replacement piano. Each piano requires its own initial tuning and assessment and must meet the same eligibility requirements.

10. Modifications and Governing Law

MPS may update these Terms with 30 days’ notice. Continued membership after updates constitutes acceptance. These Terms are governed by Tennessee law.
